Submit your vendor application by 31 July 2026. Digital only. Include your brand logo, 5 product photos and a short description (max 7 lines).

You'll hear from us

All applicants will be notified of the outcome by 18 August. Successful vendors, get ready to celebrate.

Payment due

Payment for your stall space must be received by 1 October 2026. M-Pesa only. Non-payment may release your space to the waiting list.

Set-up day

Vendor set-up is from 8:00 AM to 6:00 PM the day before the fair. Bring your QR Vendor Pass for gate entry.

Bulky items? Book a space large enough for your display. Vendors who encroach on neighbouring stalls will not be permitted to trade. If in doubt, go bigger.

How to apply

Six steps to your stall.

Fill in the form

Brand name, contact details, product description, preferred space size and any add-ons.

Attach materials

Your logo and 5 clear product photos. Required even for repeat vendors, they help us plan and promote.

Digital only

No walk-in applications accepted. Submit through the application form before 31 July.

Wait for the outcome

Notified by 18 August 2026. Do not pay anything until you receive written confirmation.

Pay via M-Pesa

Settle stall + add-ons together by 1 October 2026 to secure your space.

Receive your QR pass

A unique QR code is sent to your email and phone for gate entry on set-up day and event day.

Timings

  • Set-up: Sat 5 Dec, 8:00 AM to 6:00 PM
  • Vendor access on event day: 7:30 AM
  • Gates open: 9:30 AM
  • Fair closes & all stalls cleared: 5:00 PM

🎄 Your stall

  • Decorate festively, make it magical
  • Tablecloths are NOT provided, bring your own
  • Bring a tarp or cover in case of rain
  • Stay within your booked dimensions at all times

📦 Bulky items

  • Book a space large enough for your items
  • Highlands (2×2 m) is tabletop only
  • Encroaching on neighbours won't be tolerated
  • Declare oversized items on your application

🧹 Cleanliness

  • Keep your stall area tidy all day
  • Use the designated rubbish bags provided
  • Leave No Trace, clear by close of fair

🚗 Parking & entry

  • Enter via Moran Lounge turn-off ONLY
  • Do NOT enter via Cape Chestnut
  • Follow parking attendant instructions
  • QR Vendor Pass required at the gate

💸 Payments

  • M-Pesa only, no exceptions
  • Don't pay before official confirmation
  • Deadline: 1 October 2026, no extensions
  • Add-ons must be paid with the stall fee

Questions? We've got answers.

How do I become a vendor?
Apply through the form above. Submit your completed application, including logo, product photos and description, by 31 July 2026. You'll be notified of the outcome by 18 August 2026.
What payment methods are accepted?
For vendor applications and stall payments: M-Pesa only, no exceptions.
What can I sell at the fair?
Food and edibles, wine and spirits, art and prints, clothing, jewellery, footwear, games, skincare, event catering, décor and more. Not sure if your products fit? Email vendor@eawlxmasfair.com.
Can I share a stall with another vendor?
Only the Mt. Kenya space (5×5 m private tent) can be shared. Each person fills in a separate form, then all parties email vendor@eawlxmasfair.com (copying one another) to confirm sharing and identify who will make the single payment. EAWL does not intervene in how the space is divided on the day. Savannah and Highlands do not permit sharing.
Do I have to reapply if I was a vendor last year?
Yes. Repeat vendors must reapply each year with fresh materials, logo, 5 product photos and a current description. It helps us plan and keep the directory accurate.
